Here are step-by-step instructions for sending a calendar invite from popular web platforms to the Erie Rotary Calendar (eriecorotary@gmail.com):

 

  • Open Google Calendar: Go to Google Calendar and sign in with your account.
  • Create a New Event:
    • Click on the date and time when you want to schedule the event.
    • Fill in the event details, such as the event title, location, and description.
  • Add Erie Rotary Email:
    • In the “Guests” field, type eriecorotary@gmail.com and select the email from the drop-down list.
    • Set permissions if needed (e.g., whether guests can invite others, see guest list, etc.).
  • Set Event Details:
    • Customize notifications, add a video conference link (if needed), and adjust any other settings.
  • Save and Send Invitation:
    • Click “Save.”
    • A dialog box will appear asking if you want to send invitations to guests. Click “Send.”
  • Open Apple Calendar: Go to iCloud Calendar and sign in with your Apple ID.
  • Create a New Event:
    • Click the “+” button in the top-right corner or click on the date and time you want to schedule the event.
    • Enter the event title, location, and any other details.
  • Add Erie Rotary Email:

    • In the “Invite people” field, enter eriecorotary@gmail.com.
  • Set Event Details:

  • Save and Send Invitation:
    • Click “Save” to create the event and send the invitation to the Erie Rotary email.

Calendar Acceptance:

  • The invite is sent to the eriecorotary@gmail.com email address.
  • The event is then automatically added to the Erie Rotary Calendar without any manual intervention
  • NOTE: Everything you write in the invite will show as written on the calendar, so please be as complete as possible, include all necessary links for purchases, volunteers, and resources.
  • NOTE: Events requiring volunteers should be titled as “Volunteer Opportunity: (Insert Name)”
  • This email is linked to the Erie Rotary Calendar, which is managed through Google Calendar

Calendar Update:

  • Upon acceptance, the event appears in the Erie Rotary Calendar, visible to anyone who has access to view or manage the calendar.
  • All event details, including date, time, location, and any additional notes, are saved in the calendar entry.

Notifications and Updates:

  • The Erie Rotary Calendar will reflect the event, and any participants will be notified if changes are made (e.g., time or date changes).
  • If the event is updated or canceled, the changes will automatically sync with the Erie Rotary Calendar, and the event will be updated accordingly.

Visibility and Access:

  • The event is visible on the Erie Rotary Calendar for all users who have viewing or editing rights.
  • Depending on the calendar settings, this event may be shared with other members or made visible to those who have access to the Erie Rotary Calendar.
